Pipeline Keeper

A template agent that reads your CRM, flags deals without a next step, and drafts the chase for your approval.

Keeps every deal's next step current and chases what stalls. The Pipeline Keeper is a template agent for anyone who owns deals. It learns your pipeline first, shows you one review, and then proposes the job that keeps it current.

Steps

  1. Start it. Open Agents, choose Templates, and select Use it on Pipeline Keeper. Connect your CRM in Settings → Connections if you have not: HubSpot, Pipedrive, and Salesforce are offered.
  2. Answer the interview. Which pipeline and stages matter, what "stale" means in days, what a good next step looks like, who owns which deals, and whether it may draft follow-ups to customers. It writes this down in its instructions.
  3. See one review. Ask: "Review my open deals." It lists each deal with its last activity, its current next step, and what it would set or chase. Nothing changes yet. Tell it what it got wrong.
  4. Approve the updates. Say "apply those" and each CRM write appears as an approval card: the deal, the field, the old and new value. Approve them one by one or decline. A follow-up email appears as a draft you can edit before sending.
  5. Accept the job. After a review you trust, it proposes a schedule, for example each weekday at 08:00, with its result to your Slack DM. It starts off; turn it on from its About tab.

What waits for your approval

Every write to the CRM, every email to a customer, and any message to a colleague stop at an approval card. Reading deals, activities, and email threads, and drafting, happen on their own. On your own runs the card offers Always allow for you for an action you are happy to let through.

Limits

  • It reads the CRM you connected and the email you can see. A deal discussed only in a colleague's mailbox is not visible to it.
  • It updates fields and writes notes. Creating or deleting deals and moving stages are possible only when your CRM connection allows them, and always ask.
  • Synced CRM records in the Workspace database are read-only in the viewer; changes go through the CRM itself.
  • Outlook is not connected yet, so email evidence comes from Gmail today.

Make it yours or share it

Notes on its About tab: "never chase deals above 100k without asking me", "my next step wording is short and dated". Share it from Settings → Access with the sales team; it runs for each rep with their own CRM and mailbox. Edit Instructions to change the rules for everyone, or Duplicate it for a second pipeline.
