Invoice Reconciler

A template agent that matches invoices to payments from your sources and lists the exceptions for you.

Matches invoices to payments and stages what doesn't add up. The Invoice Reconciler is a template agent. It interviews you first, builds a matching run you can check, and only then proposes a job that does it on its own.

Steps

  1. Start it. Open Agents, choose Templates, and select Use it on Invoice Reconciler.
  2. Answer the interview. Where do invoices arrive: a mailbox, a Drive folder, a Database table? Where are payments recorded: a bank export, a spreadsheet, an accounting export? What counts as a match: exact amount, a tolerance, a reference number? Who handles exceptions? It writes the answers into its instructions.
  3. Run one reconciliation. Ask: "Reconcile last month." It reads both sides, lists each match with the evidence, and stages the rest in three piles: unpaid invoices, payments with no invoice, and partial or disputed amounts. Correct any wrong match and it adjusts its rules.
  4. Keep the results. Ask it to keep matches and exceptions in a Database so each run adds to the history and the table viewer shows what is still open.
  5. Accept the job. After a result you trust, it proposes a schedule, for example every Monday or the first working day. It starts off; turn it on from its About tab.

What waits for your approval

Marking an invoice as paid, writing to an accounting or CRM system, emailing a customer or vendor about an exception, and changing a shared Database stop at an approval card. Reading mailboxes and files, matching, and listing happen on their own.

Limits

  • It works from what is connected or uploaded. There is no bank feed or accounting-platform connection yet; use exports.
  • Reading amounts from scanned PDFs is good but not perfect. It shows the figure it read beside the source so you can check.
  • It does not decide a dispute. It stages it with the evidence and leaves the call to you.
  • Currency conversion uses the rate you give it or none; it will not guess one.

Make it yours or share it

Notes on its About tab personalise it for you: "ignore invoices under 50", "treat references starting with PO- as purchase orders". Edit its Instructions to change the rules for everyone. Share it from Settings → Access so finance colleagues can turn it on; it runs for each with their own accounts. Duplicate when another team needs different rules.
