Month-end close

Set up the Finance Partner, run one close with it, and turn its checklist and reminders into jobs.

This playbook runs the Finance Partner end to end: it learns how your close works, does one close with you, and then takes the recurring parts as jobs in a Space where the finance team can see what is waiting on whom.

Steps

  1. Make a Space for it. Open Spaces, choose New Space, and name it "Month-end close". Choose the starter "Close the books by the fifth working day of each month" on the empty home. The agent asks where the books live, where invoices and receipts arrive, who approves spend, and who signs off, and proposes the goal, instructions, and routines through approval cards.
  2. Bring in the Finance Partner. On Agents → Templates, choose Use it on Finance Partner. Make it available to the Space from Settings → Access and turn it on for yourself from its About tab. Its interview repeats only what the Space did not already answer.
  3. Run one close with it. In the Space: "Start this month's close." It drafts the checklist from how you closed last time, lists invoices not yet in the ledger, flags payments with no invoice, and keeps the checklist as Tasks in the Space. Work through them; tick off what is done.
  4. Add the matching. For the reconciliation step, start the Invoice Reconciler in the same Space. It matches invoices to payments and stages exceptions in a Database table you open from the Space.
  5. Turn the recurring parts into jobs. After one close you trust, the Finance Partner proposes: a checklist on the first working day, a reminder to whoever owes a sign-off on day three, a status against the goal on day five. Each starts off. Run each once, read it, and turn it on. Waiting on you on the Space home shows the decisions parked on each person.

What waits for your approval

Every write to your books or an accounting export, every email to a vendor or a colleague, every change to a shared Database, and every routine the agent proposes stop at an approval card. Drafting the checklist, reading invoices, matching, and listing happen on their own.

Limits

  • Accounting platforms and bank feeds are not connected yet. Work from exports in Drive or a Database.
  • Reading figures from scanned PDFs is good, not perfect. The agent shows the figure beside its source.
  • It applies the rules you give it and gives no tax or accounting advice.
  • A job runs for each member who turned the agent on and has the accounts it needs. The sign-off reminder reaches a colleague only if they are in the Space and the job's delivery to them was approved.
